There are many decisions you have to make when organizing an event. Among the most important decisions is where to host the event. Confirm that the venue you want will be available on the date of your event and is spacious enough to accommodate the number of attendees you expect.

Is it Time to Look for a Venue?
There is no right or wrong time to start looking for a venue for your event. However, starting to search early has many advantages. Your space requirements, event size and budget should help you determine whether a particular venue would be suitable.
The best time to start searching for a venue is months before your event is due. You should book a venue in advance, preferably 4 to 6 months before the event. When you book the venue, you can shift your focus to other activities related to the event such as marketing and catering. There are also multiple tools you can use to efficiently manage the activities related to organizing the event.
Here are the things to consider when looking for an event venue:
i) Location of the venue
Depending on your event, you may have some ideas of the best location for a possible venue. For example, if you are planning a local event, you want the venue to be easily accessible by majority of the attendees. If you expect most of the attendees to be traveling from out of town, a good venue would be one that is near their hotels or the airport. Consider things like transport available, traffic and parking regardless of the venue you choose.
Is there ample parking near the venue?
It is also important to check the parking space available at the venue. You want a venue with a secure parking ground. If you cannot find such a venue, then it would be helpful if there are parking lots that attendees can use not far from it. You may also go ahead and reserve the parking space of the nearby establishments for your guests.
iii) Capacity of the venue
Finally, check the minimums and maximums of the venue. For instance, find out how many people can be easily and comfortably accommodated in the venue. You want your attendees to be comfortable in the venue. There are also fire and safety standards to be followed when you want to bring together a large group of people in one area.
